Meeting notes and transcripts
Share meeting notes, a transcript or a recording summary with kanman. It proposes the stories, decisions and context worth keeping, says who said what, and changes nothing until you pick.
A lot of what a team decides happens in meetings, not in the tracker. Share the notes with kanman and it proposes what to keep: the work somebody asked for, the decisions the meeting took and the facts worth remembering. Nothing is written until you pick the items.
Share the notes
Open the team’s chat (each team has its own; see Talk to kanman) and do one of these:
- Paste the notes or the transcript into the message box and send it.
- Attach a file with the paperclip: a transcript from Microsoft Teams, Zoom or Google Meet (
.vtt,.srt), plain notes (.txt,.md), or a document (.docx,.pdf, for example a recording summary).
kanman recognises notes and transcripts on its own: a transcript file, timed captions, notes that say they are meeting notes, or several people speaking in turn. A short requirement that only mentions a meeting (“as discussed in the meeting, add a CSV export”) is treated as a requirement, as before.
In General, kanman first asks which team the notes belong to.
The proposal
kanman answers with one card that lists what it found, in three groups:
| Group | What it is | What happens when you add it |
|---|---|---|
| Stories | Work somebody asked for or agreed to build | It becomes a draft story. You review and write it like any other draft (see Write requirements); nothing reaches your tracker before that. |
| Decisions | Something the meeting decided | kanman records it as a decision of the team, with the reason given and who decided it. It appears under Decisions as resolved. |
| For the team context | A fact worth knowing later: a constraint, a customer detail, a convention | It becomes an entry of the team’s context, so kanman can cite it in later answers (see Team context and connectors). |
Every item shows who said it (the names as they appear in your notes) and the words it comes from. kanman never adds a name that is not in the notes. The line above the items links back to your message with the notes, and every story, decision and context entry kanman writes carries the same link, so anyone can check the source later.
Pick and add
All items are ticked at first. Untick the ones you do not want and press Add selected. The card then says Added, links the review of the new stories, each recorded decision and the context entries, and kanman posts the drafts card of the stories as its next message. Press Dismiss to leave everything as it was.
The first press counts: if a colleague already added or dismissed a proposal, the card says so.
Good to know
- Long transcripts are read as a whole; kanman keeps the beginning and the end of very long ones, where decisions and next steps usually are.
- If your workspace runs everything on your own runners, the notes are read by a model on your runner, never in kanman’s cloud (see Runner-only mode). If the runner is busy or offline, the card arrives as soon as it answers.
- kanman proposes only what the notes say. If there is nothing to keep, it says so instead of inventing work.
