You were invited

Someone invited you to their kanman workspace: what the email means, how to join in a minute, and what to do if the link no longer works.

A colleague invited you to their workspace in kanman. kanman is the AI teammate of that workspace: it writes stories, builds them in your company’s repositories, checks them and tells you when it needs you. You talk to it like you would to anyone on the team.

The email

The email comes from your colleague, sent by kanman (“Lena via kanman”). It says:

  • who invited you and to which workspace,
  • your role in plain words, for example “as an admin: you can set up teams and change settings”,
  • the teams you will belong to, and a personal note if your colleague wrote one,
  • until when the invitation is valid (14 days).

If you have questions first, simply reply: the answer goes to the person who invited you. Not for you? Ignore the email. Nothing happens without a click.

Join in a minute

  1. Press Accept the invitation in the email (or copy the link into your browser).
  2. The page shows the invitation again: who, which workspace, your role and teams. Opening the page does not do anything yet, so it is safe if your company’s mail filter checks the link first.
  3. Check your name (kanman suggests it from your address) and choose a password.
  4. Press Join and the workspace’s name, for example Join Acme.

The workspace opens, you are in with the role and the teams chosen for you, and kanman shows you around in the conversation.

The join page: Lena invited you to Acme, your role, the team you will belong to, the note, and fields for name and password with the button Join Acme (Desktop) The join page: Lena invited you to Acme, your role, the team you will belong to, the note, and fields for name and password with the button Join Acme (Mobile)

The page speaks the language your colleague chose for the invitation. You can change the language later in your settings.

kanman shows you around

Right after joining, the workspace opens in your conversation with kanman. kanman types for a moment and greets you by name, in your language: who invited you, and that it will show you around in a few short messages. One button ends the message: Let’s get started.

Each press brings the next part as its own message, one at a time, like a conversation:

  1. What kanman is: one teammate for the whole team that plans work into stories, writes the code in your team’s repositories, reviews and tests it, reports what it delivered, and asks a person only when a decision needs one. And what that means for you.
  2. What kanman did for your teams: the last seven days of the teams you belong to, for example “Integrations: 146 merge requests merged across 12 repositories, 38 stories delivered”, with the newest stories as links. If you are not in a team yet, kanman shows what people in your role usually hand it.
  3. Your teams: the teams you belong to and how much you want to hear from each: Everything, Only what’s for me, Updates only, no questions or Mute. The same setting is in Your settings > Notifications. Open my teams shows every team, yours first, where you can join more.
  4. A first question: three questions to ask kanman, for example “What did Integrations deliver this week?”. Press one and it is sent as your message; kanman answers right there, and the last part follows. You can also type your own question.
  5. What next: questions that wait for you, and for team leads the setup of a team that has no repository or model access yet. Admins also get Invite people and Connect your tools.

Every part has Skip and Later. Later pauses the introduction: the part stays with a Continue button, and if you reload or come back tomorrow, you continue where you left off. While the introduction runs, kanman’s other messages in Personal (news from the teams, notices) wait, so nothing talks over it; once you are done, skipped it or chose Later, they appear. Questions in the teams’ chats are not affected.

You can start the introduction again any time: open your avatar menu and choose Getting started.
